When you become our client (fill out application form/contact form or contact us by e-mail or whatsapp), we become your data controller according to GDPR. This means we have to keep your data safe, process it legally, and inform you what we do with your data.

What kind of data do we process?

The basic data we process is your name, surname and email for the purpose of contacting you, including a phone number to be able to contact you on the day of the appointment.

Most of our services require more data for example for the NIE application including scheduling an appointment in the immigration office. Then we often need your passport / ID number or even a copy of it, date of birth, nationality, address, and any information that would be relefant for the application. When you ask us to help you prepare the documents for the application (NIE, empadronamiento, social security, ….) we need to check the documents before the presentation to make sure, you are not missing anything important in the documentation that will be presented.

We do not ask for more data than what is needed to provide the service to you.

How long do we keep the data?

If you are our client, we have to keep your data for 10 years according to the Law on VAT of the Czech Republic (Act No. 235/2004, Coll.). We might archive the data even afterwards in case there are some questions about the service you will need to resolve with us.

Who is the processor of your data?

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information unless we provide you with advance notice.

Sometimes, people or companies outside NIE Valencia have access to your data. This makes them our processors of data according to GDPR.

This can be something as basic as keeping your data in a table in Google Sheets (this makes Google LLC the processor of your data) or sharing your data with our partner companies for example for further legal advise.

The processors of your data are (depending on the kind of service), namely: people at NIE Valencia, certified translators/interpreters, notaries, immigration office, tawn hall office (ayuntamiento), Google LLC, IT service provider, and internet connection provider.
